Use Information System to access secured read-only reports and inquiries.
Information System provides a central location for retrieving information from inquiries and reports designed using Protrax data files. You can display inquiries and print reports supplied by Axium, or those created by you using Inquiry Designer or Report Designer.

When an invoice is highlighted in Red, Ajera is warning you that the billing amount has exceeded the contract amount for the project or one of the phases. Ajera also alerts you by printing “Maximum Exceeded” when you preview the draft invoice.

Setting up Security
Protrax security allows you to control the reports and inquiries that are available by group or individual. In security you set up individuals and assign those individuals to a group. Within each group you assign rights to every report and inquiry available. For each individual you have the option of creating permissions that are custom only to that operator.

Security Operators
Operators can be set up with individual permissions or with group permissions.

Security Groups
Setting up security groups allows you to assign the same set of permissions for reports and inquiries to multiple operators.

Securing the Report Designs (Giving PMs Ownership of the Reports)
For each report you can add a condition that Project manager, Billing Manager, etc = “Operator”. “Operator” being a design formula you add to the design in Report Designer. This gives you the option of customizing one report and each Project Manager that runs it gets the information for his/her projects only.
You can do the same for Billing Manager in Contracts Reports or Billing WIP report just to mention a few.

Imagine the surprise on the Project Managers face when they find out they can run the Billing WIP report or Contract Item Earnings report at any time and only see their Projects. No more “Where’s my report”. Now it will be “Thanks for the info” and the whole time you were doing Payroll or preparing Financials.

Next Quarter...making reports visible to specific groups only and putting passwords on designs so they don’t mysteriously “morph” overnight.
