Conversion Implementation

So just what is a conversion?

In planning a transition to any new software, the question of conversion is always a part of the plan. However, does anyone really know what a conversion does and at what point does this option become valid?

Conversions are simply one database converted to another. As in most options, there are reasons why to convert and why not to convert. Several questions to ask yourself (or your staff) before a conversion option should be discussed:

  1. Is the old data from the data base valid?
  2. Does anyone use reports outside the current program?
    1. All data must be accurate and valid prior to a conversion. Converting incorrect data will cause discontent and distrust with the new program.
  3. How many projects are active and need to be in the new program?

A good rule of thumb is to base a conversion on the number of active projects to be converted. If the cost of the conversion is a factor, using the number of projects as a guideline may help. If you have 100 active projects or more, a conversion discussion is very valid. This is due to the data entry time for project set up needs. Once the process of setting up projects and phases is understood, a project with 5 or less phases can be set up in 30 minutes or less. So with more than 100 projects, the time becomes costly to any firm.

Once the above questions are answered, the opportunity to discuss what is to be converted becomes more important. Topics of when to convert, what processes are actually needed by the end user, and what is the validation process for the final data verification all need to be taken into consideration. The time savings alone is not the only reason to convert.

The bottom line on any conversion discussion is the time savings, the shape of the old data and what works best for you. Be prepared to ask questions in order to gain the answers for what you need to know to make a conversion successful.
